Administrative / Personal Assistant
X2X Group DMCC is a Management Consulting and Project Development firm working in
the technology industry across the Middle East and Africa.
We are looking for passionate and energetic Male or Female Administrative / Assistant for the Managing Director.
Since we are a startup we require an energetic, passionate and commitment person who can help our team to grow by assisting the MD. This role will require working extra hours when needed and is ideal for a professional looking to grow and move to the next phase of their career.
The PA will be helping the MD to ease and streamline his work load, while executing
different secretarial & administrative duties. This role will require a person who is at ease in handling various roles and taking on multiple tasks in
assisting the MD has he travels throughout the region.
Tasks may include:
- Office Management and Administrative support
- Accounting support for expenses and invoicing
- Presentation and Marketing support
- Reception & receiving visitors VIPs/all levels
- Support in development of proposals,
presentations, reports, agendas and meeting minutes
- Keeping the MD’s Calendar schedule – business and personal meetings i.e. medical, bank meetings, etc.
- Quotes and booking of Hotel
accommodation / Travel requirements
- DMCC portal management for letters, visa etc.
- Prepare & arrange with courier service for parcels / documents to courier
- Handling electronic mails – read, comprehend and sort emails which need immediate attention and response
- Handling petty cash fund
- Representing Top Management during absence within the delegated capacity
- Attending meetings; record Minutes of the Meeting, transcribe and submit for review
- Issuing official correspondence on behalf of the Founder/MD when necessary.
