Responsible for supporting Executive Director. Provide administrative support and perform numerous duties, including scheduling meetings, writing correspondence, emailing, handling visitors, routing callers, and answering questions, memo writing, minutes of the meeting and requests. PRIMARY RESPONSIBILITIES Provide administrative and clerical support to the team. Schedule meetings and arrange conference rooms. Maintain and update calendar – proactive in scheduling and updating appointments. Alert the director about cancelations or new meetings. Manage travel and schedule. Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records. Maintain office stationery and supplies. Handle information requests. Prepare expense and other administration reports. Manage spreadsheets. Manage client databaseCoordinates office management activities. Determine matters of top priority and handle accordingly. Maintain client relationships and follow through on directives.Responsible for events and venue set up. Responsible for maintaining the office maintenance and stationery requirements.Receive and relay telephone messages. Maintain hard copy and electronic filing system.
