Receptionist / Document Controller / HR Assistant

Your duties will include but are not limited to the following: Greet and assist all personnel visiting and/or calling the office on general enquiries, organize and control distribution of all documents. Ensure all administrative functions and activities are carried out in line with Company’s Quality and HSE Management Policies and Procedures including industry codes and practices as nominated by the regulatory and certifying authorities to accomplish Company’s HR and administration department objectives. • Responsible in handling Incoming and Outgoing calls. • Responsible in attending to visitor’s needs. • Greeting and logging in the visitor’s book. • Preparing, updating and monitoring of the Conference Room Usage Logs. • Updating the Office Supplies Inventory. • Creating an Itinerary for scheduled Meeting. • General Inquiries • Proposals • Verbal Inquiries • Email Enquiries • Fax Documents • Responsible for accurate data logging and transferring of Information to the concerned department or person. • Distribute current issuance of Documents • Update Document Distribution Matrix based on document revisions • Retrieve copies of obsolete files upon request • Creating Transmittal Files. • Monitoring the daily attendance and absences, outside meetings of all employees. • Assist Business Development, HR, and Recruitment & Payroll when required.
