Senior Officer – Contracts and Appointments – EFS Facilities Services in Abu Dhabi
Summary: Responsible for directing the activities of the Contracts and Appointments section with the objective of providing an effective and efficient employment documentation service that meets the needs of Client’s departments, employees and candidates. Responsibilities: – Leads a team of employment contract professionals in delivering a fully integrated Contracts and Appointments service which supports the firm’s manpower needs – Provides input into the strategic direction of the Contracts and Appointments unit, together with the Head of Employee Relations, so that it fits and complies with the overall strategy of the Employee Relations section – Contributes to the development of the Employee Relations section by counseling and advising the Head of Employee Relations as required – Serves as the technical team leader for Contracts and Appointments and provides expert guidance and advice on complex employee documentation issues to HR colleagues and to senior management – Supervises the construction and issuance of offer letters and employment contracts for new employees and ensures that they comply with Client’s policies, rules and regulations. – Ensures that Contracts and Appointments Officers coordinate with General Services for visa, travel, transportation and hotel accommodation arrangements – Oversees the verification and completeness of all documentation pertaining to new hires and ensures that appointment procedures and formalities are followed – Maintains strong relationship with third parties engaged to complete employment background checks – Ensures that employees’ contracts are adequately and confidentially maintained in the Oracle system. Liaises with HRIS for this purpose – Ensures that departments are adequately appraised of all appointment developments – Supervises the coordination with the Legal division on broad matters concerning the general terms and conditions of new employment contracts, as well as contract renewals and amendments – Supervises the coordination with the Entitlement Unit in the HR Payments section on broad matters concerning the employees’ employment contracts and the provision of new employees’ benefits – Supervises the coordination with the Compensation and Benefits section for finalising the compensation structures and performance bonuses. Ensures that the proposed compensation and benefits entitlements are in accordance with Client’s rules and regulations – Ensures that renewal request forms and notices for all contracts types are issued in a timely manner and ensures that departments are advised of the expiry dates of employees’ employment contracts prior to the expiry of contracts – Ensures that existing employees are adequately advised of Client’s rules, regulations, procedures and practices to ensure they are fully aware of their statutory entitlements and obligations – Reviews terms and conditions of employment contracts clauses that require improvement and recommends the necessary changes / amendments. Leads and supports the implementation of new practices as they relate to the Contracts and Appointments unit, and monitors ongoing practice – Leads the planning and implementation of department projects as required – Keeps abreast of developments in the business and relates them to necessary changes in the deployment of Contracts and Appointments services – Maintain up-to-date industry knowledge of Employee Relations changes and developments – May be required to participate in department-wide initiatives outside the core Employee Relations processes such as recruitment, Organization-wide projects etc – Carries out other duties as required Education and Experience: – Minimum Bachelors Degree in HR or Business Administration – Minimum of 4 years relevant experience – Experience required in a supervisory role within the contracts department of a mid to large organisation – Experience required in constructing employment documentation, including offer letters, new employment contract
